Fredericksburg Wine Tours for Large Groups: Birthdays, Reunions and Company Outings

Which Vehicle Fits a Group of 10 to 22?
Once a group passes ten people, the vehicle decides almost everything else about the day: whether everyone rides together, what it costs per head, and whether the drive between wineries feels like part of the party or a commute. Here is how Creekstreet’s fleet lines up by group size.
| Group size | Best fit | Per-person price | Hourly hire |
|---|---|---|---|
| 10 to 14 | Walk-In Sprinter Van | Silver $150, Gold $167 | $165/hr, 4.5-hr min, 18% min gratuity |
| 10 to 18 | Karaoke Limo Bus (16 comfortably, 18 max) | $185 incl. lunch (7+ tickets) | $175/hr, 4.5-hr min, plus gratuity |
| 10 to 22 | Holy Grail Hummer Limo | $185 incl. lunch (7+ tickets) | $175/hr, 4.5-hr min, plus gratuity |
| Up to about 20, split in two | Two stretch limos, 8 to 10 each | Silver $160, Gold $177 | $165/hr each, 4.5-hr min, 18% min gratuity |
Prices do not include 8.25% Texas sales tax or gratuity, and booking online adds a small booking fee.
A few rules of thumb:
- 15 or more people: the Karaoke Limo Bus or the Hummer. Above 14, the van is full, and splitting into two limos means two groups having two different days.
- 19 to 22 people: the Hummer is the only single vehicle that keeps everyone together.
- 10 to 14 on a budget: the Sprinter van at $150 per person on the Silver tour is the lowest price per seat. You can stand up inside, and there is room for the bottles you buy.
- More than 22: we use more than one vehicle. We can take groups of up to 84 people, and our largest so far was a company outing of 46. Big groups are often company outings, office Christmas parties, anniversaries and wedding parties.
What Does the Fall Special Save a Large Group?
From Sep 1 to Dec 20, 2026, the Fall Special takes $10 off per person for groups of 10 or more on the Karaoke Limo Bus or the Hummer Limo. That brings the per-person price from $185 to $175, still with lunch and tasting fees at 3 wineries included.
For a group of 20 on the Hummer, that is $3,500 instead of $3,700 before tax and tip. For 16 on the Karaoke bus, $2,800 instead of $2,960.
The fine print is short. The tour must be booked and taken between Sep 1 and Dec 20, 2026. It cannot be combined with other specials. And it is booked by phone: call (832) 247-0914 and say “Fall Special.”
Should You Book Per Person or by the Hour?
Both party vehicles can be booked two ways.
Per person ($185, 7+ tickets) is a wine tour: 3 wineries, tasting fees paid, and a box lunch for everyone. This is the simpler choice for most birthdays and reunions because one number covers the day.
By the hour ($175, 4.5-hour minimum, plus gratuity) gives you the vehicle and driver for your own plan. The 4.5-hour minimum works out to $787.50 before gratuity. It suits a group that already has a dinner reservation, a private venue, or a reason to go somewhere other than three tasting rooms. Ask what is included when you call.
If your group is smaller, the evening Nightly Tour is $155 per hour with a 2-hour minimum, and the party vehicles carry karaoke mics for a night on Main Street.
How Do Wineries Handle Big Groups?
This is the part most groups do not plan for. A couple can usually walk into a tasting room. A group of 15 cannot, and many Fredericksburg wineries now write separate rules for parties above a set size. Three examples from wineries on our list, taken from their own websites:
- William Chris Vineyards asks groups larger than 6 to book one of its Large Group Experiences. Its Winemaker’s Large Group Tasting is set up for 7 to 12 guests, and groups larger than 20 must call the concierge team to arrange a tasting. (sources 1 and 2)
- Barons Creek Vineyards says typical reservations at its Fredericksburg location host up to 10 people. Larger groups email for special arrangements, and a 20% automatic gratuity is added for groups of 6 or more. (source 3)
- Kalasi Cellars has a separate Large Group and Corporate Events page for corporate retreats, team-building outings, tour groups and family reunions. (source 4)
The takeaway: at 15 or 20 people, every stop needs a reservation made for your exact headcount, and some rooms will seat a big group in a separate space or not at all on a busy Saturday. That is the main reason a large group should not try to run its own winery day. On Creekstreet’s per-person tours, reservations at all 3 wineries and the tasting fees are handled before you board.
What Works Best for Birthdays, Reunions and Company Outings?
Milestone birthdays. The Karaoke Limo Bus is the most-requested vehicle for birthdays. Leather seats, LED lighting and wireless mics mean the drive between wineries is half the fun. For a bigger guest list, the Hummer adds party lighting and room for 22.
Family reunions. Reunions often mix wine drinkers with people who are not, and sometimes kids. Children are welcome on private tours only, and they do not taste; for those tours we book wineries that welcome families. Shared tours are adults 21 and over. Tell us early so the itinerary fits everyone.
Company outings. For a team of 10 to 14, the Sprinter van keeps the cost per seat down and the group in one place. A smaller leadership group of 4 to 10 can take Private Platinum Plus, starting at $174 per person (4-ticket minimum), in a private stretch limo or Ford Expedition with your choice of 3 stops from our list of 40+ wineries, 5 distilleries and 5 breweries. Pickup times are flexible, so the day can start after a morning meeting.
What Should the Organizer Know Before Booking?
- No deposit. We hold your seats with a card and take payment at the last stop of the day, by card or cash.
- Lock the headcount early. Seats canceled more than 48 hours ahead are $60 each. Inside 48 hours, or a no-show, the full price is charged.
- Pickup. Free inside Fredericksburg city limits. If your group is spread across rentals outside town, everyone can park free at the Fredericksburg Visitor Center, 302 E Austin St. Pickup from Austin or San Antonio is possible by special arrangement for an added fee.
- Pace the day. Water and lunch help. A flat $500 cleanup fee applies if a guest gets sick in the vehicle.
